A CT request involves carrying out a blood test for the potential donor to screen for infectious disease markers (IDMs) and the procurement and shipment of a blood sample to confirm the HLA markers. Additionally, all donors will fill out a Health History Questionnaire, while their medical history is checked and availability is confirmed.

DKMS Registry will provide you with the request results as soon as they are available via email.
Via Donor Navigator®
International registries and transplant centers that are registered users of DKMS Registry’s software Donor Navigator® can and are encouraged to request DKMS donors directly through Donor Navigator®. We recommend this option if no EMDIS connection with DKMS Registry is possible.
The additional benefits for registered Donor Navigator® users comprise an overview of all cases of the respective registry, access to the updated progress of each request and a user-specific notification system both via email and within the software.

Via EMDIS
DKMS Registry is connected to several registries by EMDIS. Preliminary search requests as well as requests for Extended Typing (Typing request), ConfirmatoryTyping (Sample request), Infectious Disease Marker testing (IDM request) or Donor Reservations can be received via EMDIS.

Once we have received the request, a DKMS CT Coordinator will verify whether all requirements have been fulfilled. This involves checking if any issues were reported in previous requests for the same donor, as well as confirming the patient’s details and the requested amount of blood required for the blood sample.
Once all information has been verified, the CT Coordinator will contact the donor via phone, email or post. An initial briefing with the donor will take place and the blood sample kit will be sent to the donor. As part of the initial briefing, the donor will be asked to confirm their availability and willingness to donate. Medical questions are discussed and, if necessary, physicians are consulted. The donor is then taken through the entire donation process. In addition to the briefing, the donor will be asked to fill out a Health History Questionnaire as part of the medical clarification.
The key part of the CT request is the blood sample from the potential donor, in order to confirm the HLA markers and to screen for infectious disease markers. At DKMS, we aim to have the blood sample taken within seven days. As soon as the date for the blood draw is set, the donor is reserved for the patient for a period of 90 days.
All results, including confirmation of HLA markers, IDM results and the availability and willingness to donate, will be shared between DKMS and the transplant center.
After the 90-day reservation period has expired, if a workup request has not been received, then the donor will be released. The reservation period may be extended for another 90 days. Please address the request for extension of the reservation to DKMS Registry. Requests can be sent via RSV_REQ message through EMDIS or via email to services@dkmsregistry.org.
For urgent searches and for donors who have already had a CT, a Health and Availability Check (HAC) can be requested. The HAC provides confirmation that the potential donor is still willing and available to donate and in good health. The donor will be asked to complete the Health History Questionnaire, but a blood sample is not taken. A HAC should be performed instead of, and not in advance of a CT request. If the donor's IDM testing results are needed for donor selection, a CT would be the adequate initial request. Donors are reserved for 90 days. The donor’s reservation can be extended up to 9 months after completion of the HAC, if a reason for the reservation extension is provided. Please address the request for extension of the reservation to DKMS Registry. Requests can be sent via email to services@dkmsregistry.org. The HLA confirmation will be part of a combined CT + WU request after a successful HAC.
Please note that a HAC request is not available for DKMS US donors.

Unfortunately, it is not yet possible to send a HAC request via EMDIS.
Please send an email to services@dkmsregistry.org with the patient’s EMDIS ID and the completed HAC request form.
A HAC request follows the same process as a CT request; however, the key differences are that there is no blood sample requested and the reservation period is six weeks. The reservation period may also be extended for another 90 days. Please address the request for extension of the reservation to DKMS Registry. Requests can be sent via RSV_REQ message through EMDIS or via email to services@dkmsregistry.org. If the transplant center or registry chooses to proceed with the donor, a CT together with a workup will be requested. If this does not take place by the end of the reservation period, then the donor will be released.
